Privacy Notice

• ▸When you register on Luma, Luma collects your name, email address and your answers to our registration questions — such as university, course and year, dietary requirements, accessibility needs and t-shirt size — and shares them with us as the event host. Luma's own privacy policy governs your Luma account.
• ▸At the event: your signature on the registration list, and photographs unless you have opted out.
• ▸This website itself collects nothing: no accounts, no forms, no cookies, no analytics.

• ▸To review registrations and confirm places, aiming for a mix of universities, courses and experience levels.
• ▸To run the event safely — catering for dietary requirements, meeting accessibility needs, and reaching you on the day if we must.
• ▸To send essential event emails: your confirmation, venue details, schedule changes and the feedback form. Nothing else unless you ask to hear about next year.

• ▸Your dietary and accessibility information is seen only by the hacker experience lead, the logistics lead and the registration desk.
• ▸Partners see your project at the demo fair, not your registration details, unless you tell us on the registration form that you are happy to be put in touch.
• ▸Photography is opt-out. Tell us when you register or at the registration desk and you will get a visible marker on your badge and will not be photographed. You can withdraw or change this at any time by telling the registration desk.
• ▸Winners' names and universities are published on our social channels within an hour of the awards, and tagged where public accounts exist.

• ▸Registration data we hold is deleted within 30 days of the event.
• ▸If you asked to hear about next year, we keep only your name and email for that purpose until you tell us to stop.
• ▸Photographs and event coverage are kept as part of the society's record of the event.

Under UK GDPR you can ask to see, correct or delete the data we hold about you, and withdraw any consent you have given, at any time — email aisoc@soton.ac.uk. To manage the data Luma holds on its platform, use your Luma account settings or contact Luma directly.
